Cash flow

One view shows how much came in, how much you paid out, what you are owed and what you owe. It covers both invoices issued in IntrApp and those issued elsewhere. You upload your bank statement, the system suggests a match for every line, and the decision stays with you.

Receivables that live in a spreadsheet

Every Monday someone puts together a spreadsheet of who owes how much and since when, and by Tuesday it is already out of date.

The statement you tick off line by line

Once a month someone sits down with the bank statement and the invoices and works out by hand which payment belongs to which invoice.

The supplier invoice missing from the picture

Outgoing invoices are in order, but incoming ones sit in a folder, so what you owe only becomes clear when a payment reminder arrives.

In, out, owed to you, owed by you

Invoices issued in IntrApp appear here by themselves. Outgoing invoices issued elsewhere and invoices from your suppliers are recorded by hand, with a due date and the document file. The header shows totals by currency, overdue items are shown in red, and whether an invoice is paid is always worked out from the recorded payments, never from a manual tick box.

Where the money stands, on one screen

The home screen shows six months of cash flow by payment date, overdue items grouped by how long they have been outstanding, and what falls due in the next thirty days.

A wrong payment does not disappear

You do not delete a payment recorded by mistake; you void it with a reason, and it stays there, struck through. Afterwards you can still see what happened and why.

Settlements arrive by themselves

If you issue invoices through an external invoicing provider, the system checks with the provider every hour whether they have been paid. It records the payment on fully settled invoices by itself.
Bank statement import

A suggestion for every line, the decision is yours

You upload the statement downloaded from your bank as CSV, Excel, CAMT.053 or MT940; the last two are standard bank statement formats. The system suggests a match for every line. The strongest signal is the document number in the payment reference, even if it was mistyped. Without it, the system relies on the amount, the currency, the other party's name and earlier matches. The import speeds up the work, but it does not take the decision away from you.

Five ways to handle every line

For every line you can accept the suggestion, search by hand or split the amount across several documents. You can also record a pre-filled external invoice from the line, or ignore it with a reason.

Nothing goes in twice

The system recognises lines that have already been uploaded by the bank's transaction ID. If you recorded a payment by hand earlier, the line is linked to it, so not a penny is booked twice.

The balance has to add up

For CAMT.053 and MT940 statements the system checks that the opening balance plus the lines gives the closing balance, and if it does not, nothing is imported. For CSV and Excel you map the columns with a live preview, and the system remembers them for the next statement.

How far we go

Cash flow, not bookkeeping

This page shows what a business owner needs every day, which is who has paid, who has not, and what falls due in the coming weeks. There is no general ledger, tax return or year-end close, because that is your accountant's job, and the invoicing export is made for their software.

How it connects

The invoice and the money, linked

Invoices issued in IntrApp appear here by themselves, a payment also shows in the customer's event log, and the document file goes into the customer's own folder in the file manager. You can record an external invoice straight from a statement line, so working through the statement also shows what was still missing.

Who sees what

Finance is not everyone's business

By default, only administrators and system administrators can open cash flow and the bank statement import, and the finance blocks on the home screen only appear for them. Anyone without that permission does not even see an empty space where the blocks would be.

What you will not find here

Statement processing, not a bank connection

IntrApp does not connect directly to your bank, so you download the statement from your online banking. PDF statements are not processed, and one upload takes at most 5,000 lines. Only full settlements come over from the invoicing provider, not partial payments.

If you need liquidity planning or central management of many bank accounts, a specialist tool will serve you better. IntrApp shows who has paid, who has not, and how much.

What most people ask at this point

We did not make these questions up; they are the ones prospective customers ask us most often. None of the answers is that you will get used to it.

Which format should I choose?

If your bank offers more than one, choose CAMT.053. MT940 contains neither the other party's name nor the payment reference, so the suggestion can only be based on the amount and the date.

What if I matched the wrong invoice?

You void the wrong payment with a reason, it stays there struck through, and you record the right one. Afterwards you can still see what happened.

Do we need our accountant for this?

No. You keep track of cash flow yourself, and your accountant receives the invoicing export in the format their software expects.
Missing features

Ask, and you may not have to pay for it

If a statement format or a report is missing, tell us. If roughly three quarters of our customer base would use it, we build it for free, and every customer gets it. We decide whether a request falls into that group, because we can see the whole customer base. We do not promise a delivery date, but we do promise that the request goes into development.
