Organising

Invitations in the calendar, attendees with roles

A meeting starts as a draft, and invitations only go out when you publish it. It always comes with a calendar event, where attendees accept or decline, and you can see all their replies together on the meeting.

Attendee, viewer, external

An attendee can be required or optional. A viewer gets no invitation but can see the meeting and the minutes. A customer's contact can join as an external attendee and gets the invitation by email with a calendar attachment, in the customer's language, with no IntrApp account.

Only the people involved see it

A meeting is visible to its creator, its attendees and its viewers, and to no other colleague. A draft is visible only to its creator.

An agenda in order

You reorder agenda items by dragging or with the keyboard, and a screen reader announces where the item has moved.
Minutes

Summary, decisions, commitments, open questions

After the meeting, the minutes must include a summary, followed by items that can be decisions, action items (commitments to do something), open questions or notes. Without a summary the meeting cannot be closed. While the minutes are missing, the system reminds you every working day, up to ten times.

The commitment becomes a task

One click turns an action item into a task on a project board you are a member of, with an owner. From then on the commitment lives where the work is, not at the bottom of the minutes.

A PDF that shows exactly what you can see

The minutes can be downloaded as a PDF at any time, produced fresh on every click, and nobody else's private comments go into it. You can pass it on to anyone who can see the meeting.

A follow-up, with its history

You start the next meeting from the previous one, pre-filled, and the two are linked. A closed meeting cannot be edited by anyone, not even the system administrator, so the minutes are never rewritten afterwards.

How it connects

A meeting is not an island

The meeting appears in the calendar, and the next five are shown on the home screen. A tab on the customer's record lists the meetings held with them, and action items continue on the project board. Search covers the agenda and the minutes too, but only what you are allowed to see.

The invitation decides who sees it

A meeting is visible to its creator, its attendees and its viewers, and to no other colleague. Tasks can be created from the minutes by anyone allowed to create project tasks, and only in projects they are a member of.

What you will not find here

Around the meeting, not instead of it

There is no video calling and no audio recording. Open items from earlier meetings are added to the next one by hand for now, an external attendee cannot reply to the invitation inside the system, and the system does not work out what a meeting costs.

If your meetings run on a video conferencing system, there is no need to replace it. IntrApp keeps a record of what you agreed there.

What most people ask at this point

What if nobody writes the minutes?

The system reminds you every working day, up to ten times, and it is the one notification that cannot be switched off. Without a summary the meeting cannot be closed.

Can we invite a customer?

Yes, if their contact is already in the system. They get the invitation by email with a calendar attachment, in the customer's language, and need no IntrApp account.

Do we need a separate calendar?

No. The meeting appears in the IntrApp calendar, and once you subscribe to your calendar link, you see it in your phone's calendar too.
Missing features

Ask, and you may not have to pay for it

If a kind of item or a view is missing, write to us. If roughly three quarters of our customers would use it too, we build it for free and every customer receives it. Whether a request falls into that group is our decision, because we are the ones who see the whole customer base. We do not promise a delivery date, but we do promise that the request enters development.
