Quotations

You put quotations together from your saved products and services, and before sending, the system gives you the chance to review the final document thoroughly. When you update a quotation, the old versions stay in the background, so the screen always shows the current, valid one. The quotation is tied directly to the customer, so once it is accepted, the work or the invoicing can start straight away.

What it actually solves

The quotation that lives in a Word file

It gets put together, goes out by email, and after that nobody is quite sure which version the customer actually received, or what was in it.

The reply nobody remembers

The customer wrote back to say they are thinking about it, and two months later nobody can say where the conversation stood.

The accepted quote that never becomes a project

The customer said yes, but the quotation sat in a folder somewhere, and somebody has to remember to turn it into actual work.
What quotations do

From draft to a document sent out

Every quotation lives in one place, with who you sent it to, when, and how they answered.

Put together from line items

The recipient, the validity date and the line items make up the quotation, and under the items you see straight away what it comes to. Saving it creates a draft with its own number.

Sending as a separate step

Sending is not the same moment as saving. On the detail page you check the recipient, the language and the document once more, then decide to produce the PDF and send it.

Version history

Revising a quotation replaces the old version, but it does not disappear. It stays hidden by default, so you and the customer always see the same, live version.
How it fits together

The quotation sits with the partner, not beside it

A quotation belongs to the partner you sent it to, so the customer record shows straight away what is out with them and how they replied. If they accept it, the project or the invoice picks up from the same system, not from a folder you have to go and find.

You are not keeping track in a separate spreadsheet of who you promised what. The quotation, the customer and the work that follows it live in one place.

Do we need training?

There is a manual and a step-by-step walkthrough inside the app, so people find their own way in. No training days, and nobody has to become the in-house expert.

What does it cost to start?

Automated setup takes about half an hour. There is no implementation fee and no compulsory consulting day.

How flexible is the trial?

During the trial you work in your own instance with your own data, and if it turns out not to be right, you cancel it.

Ask for it, and you may not have to pay

A missing quotation template or approval step is not a dead end. Write to us, and if roughly three quarters of our customers would use it too, we build it for free and everyone gets it. What is specific to you gets built under a separate agreement. Whether a request falls into that group is our call, because we are the ones who see the whole customer base, and what we promise is not immediate delivery but that the request enters development.
