The official Számlázz.hu integration is now available in IntrApp, and IntrApp is listed among Számlázz.hu's partner integrations. If your company already issues its invoices in Számlázz.hu, you can connect that account to IntrApp with a single key. From then on you start the invoice where the customer, the quote and the project already are, and Számlázz.hu issues the certified document in the background, exactly as it does today.
IntrApp is the Business Operating System your company runs on. It is not a standalone CRM and not an ERP. Customers, quotes, projects, tasks and invoicing live in the same system, which is why it makes sense for the invoice to start there too.
In many small companies invoicing happens in a separate browser tab. Someone looks up the customer, copies the name, the address and the tax number, then types in the line items again, even though they were already on the quote. Every copy is another chance for a typo, and a wrong tax number or amount means the invoice has to be corrected or cancelled afterwards.
In IntrApp you create the invoice in the Invoicing menu. The buyer comes from your customer records, and you pick the line items from the Catalogue, where the unit price, the tax rate and the tax exemption reason are set once. The invoice can be linked to the accepted quote and to the project, so you can see later which piece of work you billed, and the issued invoice also shows up in the history of the customer, the quote and the project.
IntrApp does not issue certified tax invoices itself. When you finalise an invoice, IntrApp sends the document data to Számlázz.hu, and Számlázz.hu issues the certified invoice, assigns the invoice number and handles the reporting to the Hungarian tax authority. You keep your existing Számlázz.hu account, and your earlier invoices stay where they are.
Through Számlázz.hu you can issue invoices, proforma invoices, advance invoices, cancellations and corrective invoices. Final invoices that offset an advance payment, and receipts, are not issued this way. If something is not supported, IntrApp tells you before you issue the document, and says why. After a successful issue, IntrApp emails the invoice to your customer as a PDF, in the language of the document.
You need one piece of data, the Számla Agent key, which tells Számlázz.hu that the request comes from your account.
The setup is done by a user with the Supervisor role, because this is where the credentials of an external account are stored. IntrApp never shows a saved key again. To replace it, you simply paste in the new one.
The test call does not create a document. Számlázz.hu does pass it on to the tax authority, so you find out whether your account's tax authority connection is live and whether your company's tax number is recognised as valid. If it is not, correct the tax number on the Company details page before you issue a live invoice. Proforma invoices get their numbers from the same pad but in a separate series, so they never land between your invoices.
The Számlázz.hu connection guide walks through the same steps.
You start the invoice as a draft, and it goes to Számlázz.hu when you finalise it. Until then you can review or change the line items, because a draft is not yet a document. If issuing fails for some reason, IntrApp does not retry on its own, because a retry could create two legal documents. It tells you instead, and you decide what happens next.
An issued invoice is final, and nobody can edit it, not even a user with the Supervisor role. If something is wrong, you fix it with a cancellation or a corrective invoice, each linked to the original and created as a separate document in Számlázz.hu as well.
For customers on a monthly fee, recurring invoicing takes the job off your hands. You set up a template for a customer and a set of line items, and IntrApp creates the invoice every month. You can have it issued straight away, or created as a draft if you want to check it before it goes out.
You record payments on the invoice itself, so you can see who still owes you what. Your accountant gets the issued invoices as a file, in NAV XML format for Hungarian accounting software such as ExPanda, Forintsoft, Hessyn and RLB.
As long as no invoicing provider is connected, documents carry an “UNCERTIFIED INVOICE” watermark, and such a document must not be sent to a customer. The watermark tells you the document has not been through certified issuing, so it is not a tax invoice.
Only one provider can be active per company at a time. If your account is with Billingo or InnVoice rather than Számlázz.hu, IntrApp has a ready-made integration for those too, set up the same way.
You do not need us for the setup. You can get started on your own, and we do not charge for onboarding or training. If you do get stuck, our team of experts is happy to help, and whether you ask is up to you.
Numbering, recurring invoices and the export for your accountant are covered on the Invoicing page.
